BOARD OF DIRECTORS MONTHLY MEETING
June 19, 2019- MEETING MINUTES
The Board of Directors held their monthly meeting at the Agricultural Education Center on Wednesday, June 19,
2019. President Sue Harr called the meeting to order at 4:00p.m.
Board members in attendance: Katie Carr, Sue Harr, Jay Miller, Dave Moore, excused- Joe Layos, Jeff Semler,
Denny Reeder
Staff in attendance: Andrew Eshleman- Public Works Director, John Pennesi- Dept Director- Parks and Facilities,
Danny Hixon- Facilities Supervisor, Erin Overdorff – Administrate Assistant
APPROVAL OF MINUTES
Minutes from the June meeting will be approved during the next Board meeting as quorum was not present.

RURAL HERITAGE MUSEUM AND VILLAGE REPORT
A Curator’s report was submitted to the Ag Board for review. High points were discussed.
Planning is underway for Spudfest and Heritage Fest on August 24 and 25. Brochures are available for distribution.
A meeting will be set up with the new members of the RHM committee. It was discussed that in the future, at least
1 Ag Board member attend the RHM Committee meetings.
UNFINISHED BUSINESS
Stormwater pond update- agencies and parties have met and the area has been staked out, silt fencing is installed.
Work is to be started in the next few weeks.
Fundraising- Shooting Event Fundraiser
Documents were distributed for promotional materials. They will be edited and updated by the next meeting.
More clarity is to be established between the Ag Board sponsoring the event and not the County. Staff will work
with legal and PR on how to better represent the Ag Board.
A meeting is scheduled with staff and budget and finance regarding the Ag Board establishing their own checking
account.
October 5- 8am registration, 9am start- North American Rod and Gun Club
Shooter info: $100- individual; $400- team of 4; Ticket includes pp 75 clay pigeons, lunch, door prize ticket,
refreshments; 10 station, 75 total clay targets; Registration limited to 20 teams; Goal- 20 teams of 4 shooters (80
shooters total)
Sponsor Info: Sponsor levels will be given starting at $1000 sponsors- sponsorship levels have been established.
BOD to seek sponsors- local businesses- sponsor list reviewed
Raffle info: 500 tickets, $10.00 per ticket; 1 gun; Gun transaction handled by Hafer’s; BOD to sell raffle tickets;
tickets distributed
Auction item info: Goods or Services- Golf, shells, guided shoot; Items auctioned after shoot, during lunch
portion; BOD to seek auction items- donations
Additional items to consider: Skill prizes; Door prizes; Trophies
Food info: Steak Lunch- Ernst Market (14.99pp); Alcohol after shoot- selling and licensing by gun club.
Additional day of info: Mulligans- $20.00 each; 50/50 raffle
Estimated net profit from the event- $5,000-$10,000
NEW BUSINESS
Bylaws were distributed to the Board. The Ag Board has the opportunity to update their bylaws and revise.
Language including oversight of the Rural Heritage Museum and fundraising can be added.
Please take interest in adding to this effort.
There was discussion on advertising for events that take place at the facility by renters. Recent publications by
outside organizations have the facility named the Ag Expo Center. There was a suggestion on adding language to
the contract so they clearly know how to correctly identify the facility.

The next meeting will be held on Wednesday, July 31 at 4:00pm
