Advisory Council Meeting
January 17, 2020
The bi-monthly meeting of the Area Agency on Aging Advisory Council Meeting was held on Friday, January 17,
2020, in the Conference Room at the Washington County Senior Activities Center and Commission on Aging
offices, Hagerstown, MD.
PRESENT: Brenda Gordon, Co -Chair, Aggie Llewellyn, Co -Chair, Commissioner Terry Baker, Deborah Cohill,
Thomas Ruhf, Paulie Ward, Harry Wagaman, and Jessica Scott
EXCUSED: Julie Fen -on
ABSENT: None.
STAFF: Amy Olack, CEO, Steve Reynolds, Chief Financial Officer, Sherry Mauk, Recording Secretary, and Tim
Fisher, Development Program Manager
WELCOME Brenda Gordon opened the meeting and welcomed all in attendance.
ADDITIONS OR CORRECTIONS TO THE AGENDA: Amy Olack stated a correction to the agenda; the
next meeting will be at 11:00 am.
MINUTE APPROVAL (November):
The motion to approve the amended minutes of the November meeting was made by Jessica Scott,
seconded by Aggie Llewelyn and the motion carried unanimously.
Amy Olack stated Sherry Mauk will be sending out the Financial Disclosure forms to the members and asked that
these be completed and return to Sherry.
Development Update: Tim Fisher, Development Program Manager
Tim Fisher gave an update of the annual campaign and the current donations is at $6,302.96. Tim Fisher stated
57% of the Advisory Council have given to the annual campaign. Tim stated he would like to challenge the
members to reach out to colleagues, friends, and family to contribute to our annual campaign. Tim encouraged
members if they know of someone he can meet with and they are not comfortable in asking please forward that
information to him. Tim Fisher stated the Commission on Aging will host its first annual Golf Tournament on
June 19'x` at Black Rock Golf course. Looking for sponsorships for this event. Bank of Charles Town (BCT) and
Bowman are our sponsors for this event. Tim Fisher stated we are also looking for $100 tee sponsorships. Tim
asked for members to sell at least two tee sponsorships. Paulie Ward asked how many foursome teams we are
seeking. Tim Fisher answered 32 teams. Amy stated we are looking to have a minimum of 18 teams. Tim Fisher
stated he is currently delivering packets to organizations with a variety of opportunities to sponsor or donate to the
Commission on Aging. Paulie Ward asked if committees will be established. Tim Fisher stated the plan is to
have the committees established at the February fundraising committee meeting.
Tim Fisher stated a 50°i anniversary Murder Mystery Dinner will be held on September 26, 2020, 6 pm -10 pm at
St. James. Tim stated we are currently looking for two $5,000 sponsorships for this event. Discussion continued
regarding the details of the event and the cost involved. Vernell Doyle recommended a door prize for Senior
Center members to attend this event. Jessica Scott also recommended there may be a senior center member who

may be able to help work at the event. Tim Fisher explained the goal is to grow the large donor base for the
organization.
FINANCIAL REPORT — Steve Reynolds, Chief Financial Officer:
Steve Reynolds reviewed the Financial Report for the Older American Act Programs.
A motion to approve the financial report as presented was made by Paulie Ward, seconded by Jessica Scott, and
the motion carried unanimously.
CEO's REPORT — Amy Olack, Chief Executive Officer:
Amy Olack presented the CEO's report as written.
Amy explained our AIM system is out of date and needs to be upgraded. Discussion occurred regarding cost,
State's current focus and waiting process.
Amy Olack stated the number of Medicare Part D open enrollment clients was down compared to last year,
mainly due to the influx of state retirees that were seen last year.
Amy Olack stated she would like to say a special thank you to Mike Guessford for all of his hard work and
stepping up in multiple areas to fill in to include filling in at the Senior Center, delivering shelf stable meals and
filling in at the Caf�. Paulie Ward asked staff to thank Mike Guessford on behalf of the Advisory Council.
Amy Olack stated the Commission on Aging is a top finalist for the "At Your Service" award for the Chamber of
Commerce. She stated the Chamber came out and did a video of the organization and there was full participation
in each of the classes at the Senior Center. She stated she gathered the leadership team to be part of the video.
The biggest compliment was when the gentlemen from working on the video the Chamber of Commerce stated
that they would like to work at an organization like this. Amy stated the award ceremony will be held on
February 26th at the Maryland Theater at 5:00 pm.
Amy Olack discussed the County funding application and the requested amount to fund the new building. This
amount was put into the line item budget and the County grant application at the direction of the County Chief
Financial Officer (CFO). Amy Olack stated that a 5% increase was built in for health insurance increases at the
request of the County CFO.
OLD BUSINESS: Discussion regarding handicap parking spaces that continue to be used by those who are not
authorized to park in these spaces. Amy Olack explained there are not enough staff to be able to police the
handicap parking violations. Amy also explained there is no room at this site to expand additional parking.
NEW BUSINESS: Amy Olack stated one of the missions of the Board is to continue to build additional Senior
Centers throughout the county. Vernell Doyle asked if the Commission on Aging has a way to know where the
members are coming from in the County. Amy Olack answered yes. Amy Olack stated that the challenge is
funding for support and being financially stable. She stated the State Maryland Department provides funding in
the amount of $11,000 to operate the Senior Center.
MEMBER UPDATES/INFORMATION: Aggie Liewelyn asked what is the status of the Fit Lot. Amy Olack
answered the Fit Lot has been installed and we plan to host a grand opening event and will coordinate with

AARP. Amy Olack stated the trainers for the Fit Lot will be paid through the County. Verne!' Doyle stated the
Fit Lot at the Washington County Senior Activities Center is mentioned in the AARP publications.
Discussion took place regarding funds that Governor Hogan designated for seniors.
Amy Olack encouraged members to complete the 2020 Census and spread information to family, friends and
colleagues.
NEXT MEETING: The next meeting will be the held on March 20, 2020, at 11:00 pm and will be a
teleconference meeting.
